Consultation process 

The Smart Directions Statement for Information and Communications Technology within the Queensland Government (PDF, 580 kB) promotes the Queensland Government as a single enterprise. The Queensland Government Chief Information Office (QGCIO) needs to consult with agencies on a number of initiatives outlined in the Smart Directions Statement. The consultation and feedback process used by the QGCIO to communicate with agencies is outlined below.

Consultation

The consultation process involves the distribution of documents (and any other supporting documents) to all agencies. The QGCIO will notify the appropriate agency contact when consultation of any document commences. Agencies will then be requested to review the documents and provide feedback to the QGCIO using the feedback form specified. Once the feedback form is received, the feedback will be evaluated and the QGCIO will determine an appropriate response to the feedback, which may include changes to the document or other elements of the document or its supporting documents.

Feedback

A feedback form is prepared for each of the documents distributed for consultation. This form is available in electronic format and provided along with the document when published. Agency feedback is requested on the feedback criteria defined in the feedback form. These criteria should help to focus agency efforts in responding to each of the distributed documents.

Timelines

Feedback will be required to be returned within the period specified for the particular document. Feedback must be received by the QGCIO before the end date specified. Further information about the consultation period for each document can be found on the relevant consultation page. Of course, earlier feedback will facilitate balancing of workloads and improving the response time from the QGCIO.

What if we need more information before providing feedback?

Agencies can contact the QGCIO to discuss issues prior to providing the agency’s formal response. Contact can be made by email at the following address: qgcio@qld.gov.au.

How do we submit agency feedback?

Agency feedback must be coordinated from a single point and a single unified agency response should be returned to the QGCIO within the defined timeframe. Agency responses must be returned in electronic form to the following address: qgcio@qld.gov.au.

What happens with agency feedback?

The QGCIO will determine a response to each item of agency feedback. The response may be to make a change to the document or an associated document. In some cases the response may be to provide additional information for the agency to help understand how their feedback has been catered for.

In all cases, a response will be provided to agencies that have provided feedback that affects a mandatory aspect of the document so that they may understand how their feedback has been handled.
